Contact Us & Chat with a Specialist:

Let’s go over every detail of your event together to ensure a smooth experience, covering essentials like delivery and pickup needs. By now, it’s great if you have your event date, location, and vision in mind, along with any site photos or measurements for tent rentals. Feel free to share swatches, photos, or concept sketches—Pinterest boards are always welcome, too!

Quote Inventory:

After consulting with an event specialist, we’ll create a personalized quote to reflect your vision. Layout suggestions are also available to enhance your ideas. Please note that quotes don’t reserve items, so inventory availability isn’t guaranteed.

Reserve Rentals:

To secure your rental, simply connect with your sales representative, who will confirm item availability for your date. Once confirmed, we’ll send a link for you to review, sign the contract, and submit a 25% deposit—all conveniently online.

Updating & Fine Tuning:

We know that details like guest count or additional items may shift as you plan. If adjustments are needed, we’ll update your contract to reflect the changes and request your signature for approval. We’re pleased to accommodate updates to help you create your perfect event, with no extra fees for changes made up to 31 days before your event date.

Final Numbers & Confirmation:

Approximately one month before your event, please confirm final guest counts with your sales rep. This step ensures a seamless setup. About a week out, our Dispatch Team will reach out to review your order, confirm final payment, and arrange delivery. To finalize preparations, your contract will close 48 hours before delivery or pickup.

Rentals Delivery:

The big day is almost here! At Hill Country Event Rentals, our typical delivery window runs from Monday to Friday. We’ll deliver on the date noted in your contract. If you need a particular delivery day, please let us know during the quoting process. Our setup team will also give you a heads-up call as they’re en route to the venue.

Event Day:

Rental Pickup:

Before our team arrives to collect the rental equipment, please make sure to remove all decorations, personal belongings, and trash from the tent or event space. You can also refer to the Logistical Tips section for a more in depth description of what is expected for pick up. Late night event pickups generally require higher fees.
